Capturing these essential moments requires careful planning and keen awareness throughout the day. Here are some effective strategies and what I do with my clients to ensure I don’t miss any critical shots:
1. Pre-Wedding Call
I always conduct a pre-wedding call to go over all the details. During our planning call, I am taking notes of every last detail into a Google doc. I also have my couples fill out a questionnaire that contains the family shot list and any must have photos. I put all of this into one organized place as a detailed timeline. This is my LIFELINE during a wedding day! I regularly check the doc to make sure I am capturing any must-have photos that the couple requested. I make this Google doc available beforehand as well so that if anything changes or last minute additions want to be added, it is always up to date for everyone to refer to.
2. Map out Your Shot List By Category
I recommend dividing your shot list into categories (getting ready, ceremony, reception, etc.) for better organization. Nothing is worse than having to scroll through a long list looking for a specific note or detail when you’re on the spot. Organization is key and by mapping it out beforehand, you can save yourself a lot of stress.
3. Scout the Venue
If possible, visit the venue before the wedding day. Familiarize yourself with the lighting conditions, key locations for shots, and any potential obstacles. This preparation will help you feel more confident and efficient on the day itself.
4. Communicate with the Wedding Planner
I love to establish a connection with the wedding planner (if there is one) because I need them as much as they need me to make the magic all happen smoothly! They can provide insight into the schedule and notify you of any changes. Being in sync with the planner helps you stay on top of the timeline, which will make the day go so much better for everyone!
5. Use a Photography Assistant
If budget permits, consider hiring a second shooter or an assistant. This extra set of hands can help capture multiple angles and moments simultaneously, ensuring no special moment is overlooked.
6. Stay Flexible and Attentive
Weddings can be unpredictable, and moments often arise spontaneously. Stay attentive to your surroundings, and be prepared to adjust your plan as the day unfolds. This flexibility allows you to seize unexpected opportunities for beautiful candid shots.
7. Set Reminders and Check Off Shots
Keep your shot list handy and check off each shot as you capture it. This way, you can monitor your progress and ensure you haven’t overlooked any essential moments. By having my Google Doc pulled up on my phone, I can easily check it in between shots to ensure I’m hitting shots as I need to be.
8. Capture Emotional Reactions
Make a point to focus on capturing the emotions of family and friends during key moments. These candid reactions add depth and storytelling to your photos, making the entire experience even more special for the couple. I often quickly snap photos of the couple doing their thing, and then quickly pan to mom, dad, best friend, etc. for their reaction.

After the wedding, take time to review the day’s images critically. Analyze what worked well and what could be improved on the wedding checklist for next time. This reflective practice will help you refine your skills and better prepare for future weddings.
